Templates: your emails and texts
The words your customer reads are yours. Edit the built-in templates, or make your own for each kind of meeting.
The groups
Templates has a menu down the side (tiles on a phone):
- Requests: the message that carries a new link, under Email and, if you send texts, Text message.
- Reminders: the follow-up messages Remind uses, again by email and text. See Follow up and send a reminder.
The page opens on the kind you last saved.
The built-in templates
- Introduction: a first approach to a new contact.
- Blank: the essentials and nothing more, to make your own from.
- General address: for a link with No name, asking for the message to be passed on. See Writing to a general address (No name).
- Reminder and Final reminder, in the Reminders group.
Built-in templates can be edited and put back with Restore default, but not deleted, so there is always something to send.
Make your own
- Press + New email template, or open More on a template and choose Duplicate to start from it.
- Give it a Template name you will recognise in the drop-down.
- Write the Subject and the message. Use the Insert: buttons for the handles such as [First name] and [date and time], rather than typing them.
- Check the Preview, which shows it with sample details, and press Save template.
Fonts and size
Font and Size apply to the whole email. Leave them on Outlook compose font and Outlook size and the message takes on whatever your own compose font is, so it matches the rest of your email. The button and its calendar are sized to match. Whether the link goes out as a button or a text link is chosen under Settings › Appearance. See Your chalk colour and how the link looks.
Which one is used
- The template marked selected is the one the copy panel opens on next time. Choosing another on Link ready changes it, as does Use next time under More.
- selected for no name is the one used for links made with No name.
- In the drop-down and on this page, the template you used last comes first, then the rest in alphabetical order.
Text message templates
Plain text, with no subject, button or calendar icon. The editor counts the characters as you type: 160 or fewer goes as one SMS. See Send a link by text message.
